What we do with the information you send us, in plain terms. This notice covers this website and the enquiries made through it.

Who this covers

Sovereign Gateway International — “the firm”, “we” — publishes this website and answers the enquiries sent through it. This notice sets out what we do with the information you give us here, and what the site records without being asked.

It covers the website and nothing beyond it. If an engagement follows, everything you share with us during that work is governed by the engagement letter we sign with you, which states its own terms of confidentiality and prevails over this notice.

What we collect

Two things: what you type into the enquiry form, and the ordinary record any web server keeps of a visit. There are no accounts on this site, no registration, no login and no comments, so there is no profile of you to assemble — and none is assembled.

  • From the form, because we need it to reply: your name, your company and your email address.
  • From the form, if you choose to give them: your phone number and the market you are writing from.
  • From the form, because it is the enquiry itself: the service pillar you select and the message you write. What goes into that message is entirely your choice, and the terms of use explain why it should not include anything confidential.
  • From the visit: the request log kept by the provider that hosts the site — the address your browser connects from, the page asked for, the date and time, and the browser and system it reports.

What we use it for

To answer you, and to work out whether we are the right firm for what you describe.

  • Reading your enquiry and replying to it.
  • Judging whether the work you describe is work we can take on, and running the client-acceptance checks that precede any mandate.
  • Keeping a record of the exchange, so that a conversation resumed later starts where the last one ended.

We do not sell your information, rent it, trade it or pass it to anyone who wants to advertise to you. We do not use it to build a profile, and we do not add you to a mailing list because you asked us a question.

On what footing

You send it to us: that is the whole basis. The box you tick before the form goes is your consent, and it is the only thing that puts any of this in our hands.

You can take that consent back whenever you like, by writing to us. When you do, we stop and we delete what we hold — unless a specific obligation requires us to keep a record of the exchange, in which case we tell you which record it is and why it stays.

Who else sees it

A short list, and nobody outside it.

  • The people in the firm who need it in order to answer you.
  • The provider that hosts this site, which handles the data only to keep the site running and only on our instruction.
  • Our own professional advisers, where an enquiry raises a matter we need advice on.
  • Anyone we are obliged to give it to in answer to a valid and binding request, in which case we tell you unless we are forbidden to.

If an engagement follows, the work itself may require passing information to registries, counsel, banks or authorities. That never happens on the strength of this notice: it happens on your instruction, under the engagement letter.

How long we keep it

An enquiry that does not lead to an engagement stays with us for as long as it is reasonably useful — a conversation resuming six months later is an ordinary thing in this trade — and is then deleted. If you ask us to delete it sooner, we delete it sooner.

Once an engagement begins, how long anything is kept follows the engagement letter and the record-keeping the work itself requires, not this notice.

How we look after it

The site is served over an encrypted connection. Enquiries reach a small number of people inside the firm; they are not published, not indexed and not listed anywhere on this site.

We will not claim more than that. No transmission over the internet is completely secure. What we can undertake is to keep the circle small, to hold nothing we do not need, and to tell you promptly if something goes wrong that affects you.

Cookies and third parties

This site sets no cookies. It stores nothing in your browser, it carries no analytics, no tracking pixels and no advertising, and it does not follow you after you leave. There is no consent banner because there is nothing to consent to.

One thing does come from elsewhere: the typefaces. They are served by a third-party font service, which means your browser makes a request to that service and the service sees the address it came from together with the ordinary technical details of the request. We receive nothing from that exchange and we have no control over what the service does with it.

Separately, the provider that hosts this site keeps the request log described above. It exists to keep the site working and to spot abuse.

Your say over your own data

Write to us and we will do any of the following, without charge:

  • Tell you what we hold about you.
  • Correct anything that is wrong.
  • Delete it.
  • Send you a copy of it.
  • Stop using it, or stop one particular use of it.

One message to the address at the foot of this page is enough. There is no form to fill in, and we do not ask you to explain why.

Not addressed to children

This site is written for businesses and for the people who represent them. It is not directed at children, we do not knowingly collect anything from them, and if we find that we have, we delete it.

Changes to this notice

The date in force is at the head of this page. If we change anything that matters — what we collect, what we use it for, who else sees it — the changed notice goes up here before the change takes effect, so that the version you read is the version that applies to you.
